During these challenging times, it is imperative that we remain engaged with our Provincial membership on any relevant matters, so that they are fully aware of developments whilst we are unable to hold regular Lodge and Chapter meetings.

Since my appointment, our Provincial Communications policy is that important messages from the Provincial Grand Master – Grand Superintendent, or those from the Provincial Grand Secretary – Grand Scribe E, relating to Grand Lodge or Provincial matters, are communicated direct to our membership, with any non-urgent matters being included in a periodic Provincial newsletter, which has greatly improved member engagement with our activities.

However, since the implementation of GDPR, it has been a requirement to allow a recipient of email to unsubscribe from any mailing list which he is included in and, disappointingly, 11% of our members have chosen to unsubscribe from the Provincial distribution list, meaning that some 400-500 members no longer receive any information on current or future Provincial matters.

In order to ensure that as many members are advised in a timely way of our activities or urgent news, we will in future email all time-sensitive information directly to Secretaries and Scribes E, containing clear messaging in the email header as to whom the email is to be distributed to.

Our Secretaries & Scribes E provide a vital link to our membership and I would be very grateful if you would distribute any information received from the Provincial Communications team – within 24 hours of its receipt – to your members, or to the distribution list shown in the email header. Perhaps, if you have any members without an email facility, you might forward it to them by other means.

I trust that the above is self-explanatory and am most grateful for your assistance in this matter.

Yours Sincerely and fraternally,

Provincial Grand Master
